You can associate a .bmp, .gif, .jpg, .jpeg, .wmf, or .rle photo file to any membership record.
Note: The database will either contain the path to the file, or the actual file itself, based on the File & Photo Storage database preference. If you choose to store the path to the file it is important to remember to move all photo files if the database is ever moved to another machine. This also means that updating an existing photo is as easy as putting the new file in your photos directory. As long as the name is the same, it will appear on the member's record automatically. Despite this, the recommended method is to store the file in the database, to ensure that it cannot be lost (and if you are running multiple installations, it may be the only way other users can see the same photo).
Adding or Viewing a Photo
|1||From the General Tab of a membership record, click the Photo icon, or select a membership record on the Membership List and choose Actions > Display Photo.|
|2||When the Photo window opens it will automatically display the photo associated with the member, as well as the photos of all Friends & Family records if available. If no photo is available, a browse window will open automatically so you can select the photo file.|
All photos are shown in miniature along the left side of the window. The photo for the member is always shown at the top, and then Friends/Family photos are shown below, sorted by first name.
|3||The list of photos on the left side may be scrolled using the scrollbar, and clicking any one of them will display the larger version in the main viewing area. Photos are automatically resized to fit the display area. |
The following icons are also available along the right-hand edge of the window. This icons always affect the currently displayed photo:
|•||Toggle Size - changes the photo from a "scaled to fit" version, to the full sized version.|
|•||Print - displays a printer window and prints the full photo|
|•||Delete - removes the photo from the associated record|
|•||Browse - enables you to assign a different file to the currently displayed photo|
|4||When you're finished, click OK.|
|•||If you are storing photos in the database, the name of the photo will change to something like, "Stored ID: 36" after it has been successfully saved. When opening a stored photo, the system recreates the photo file in a temporary directory and then displays it.|
|•||This window uses a powerful image viewer to display photos. However, the Photo ID Card report doesn't have this capability. The report will always display photos in a normal portrait (taller than wide) format. So while you can store any size of photo and display it on this window, only normal ID card style photos will look good on the report.|
|•||Digital cameras can be set to take very high resolution photos capable of filling a large computer monitor with a razor sharp image. This is great for photos that may be enlarged or printed, but it will require a lot of disk (or database) storage, and is overkill for an ID card. We strongly recommend using a graphics tool to resize photos to approximately 2" x 3" (144 x 216 pixels, 5.0 x 7.6 cm). This is enough for excellent clarity while only requiring about 50 KB of storage or less. |
